The Intake Department is a fast-paced department responsible for the processing of internal and external treatment referrals, screening clients (in person and over the phone), linkage to the appropriate level of care and the navigation of various insurance procedures for approval of treatment. The intake department directly supports staff across sites, clients and the community, with the goal of quickly and effectively meeting the community's need for mental health and substance abuse treatment, with excellent customer service. 

Key Responsibilities

  • Provide direct support, treatment linkage and customer service to clients and the community, including:
  • Perform initial phone screenings and coordination for clients seeking on-site mental health and/or SUD assessment, as well as schedule initial onsite assessments for clients seeking services.
  • Communicate with clients, families and professionals to help identify appropriate levels of care, locations of programs, and information pertaining to Prototypes’ services.
  • Screen and coordinate direct admissions to Prototypes’ outpatient mental health programs directly from emergency departments, crisis teams, law enforcement agencies, and other providers/agencies.
  • Help manage census numbers, by tracking incoming and outgoing clients.
  • Assist clients with the navigation of insurance coverage/verification and accurately transcribe authorizations from outside facilities.
  • Outreach to clients requesting information via Prototypes’ online Web-Inquiry system.
  • Maintain current information on the cross-site intake calendar, and report changes for outcome reporting.
  • Serve as back-up for appointment reminders via phone call, text, and/or email to consumers.
  • Maintain updated list of community resources.
  • Refer consumers to outside resources as needed.

Education and Knowledge, Skills and Abilities

  • Must hold a Bachelor's degree in a related field (Social Work, Psychology, Behavioral Sciences) and/or must hold a State Substance Abuse Certification.
  • At least two years of case management experience working with clients in a Mental Health, Substance Abuse, Domestic Violence and/or related field.
  • Prior experience with IS and DMH intake procedures preferred.
  • Bilingual language skill preferred, English and the predominant other language natural to the community where the facility is located.
  • Good written and verbal skills.
  • Strong Computer skills. Preferable experience with electronic health records.
  • Knowledge and respect of all confidentiality issues.
  • Strong phone and customer services skills.
  • Knowledge of proper ethical and professional codes of conduct.
Compensation: $15.00-$17.00
Type: Hourly/ Non-exempt
